RecruitCoach — Chrome Extension Privacy Policy

The RecruitCoach Chrome extension (“the Extension”), formerly named Cannonball Text Center, is an internal tool published by Cannonball Recruiting LLC (“Cannonball,” “we,” “us”) for use by Cannonball staff and authorized partners. It adds a floating texting panel on top of Crelate, Recruiterflow, or another website the recruiter explicitly approves, so a recruiter can read and send SMS text messages and place calls through their own RingCentral line without leaving the page where they are working. This policy explains exactly what the Extension does and does not do with data.

1. What the Extension accesses

The Extension does not have its own database. It is a thin window into the signed-in recruiter’s own accounts. On the recruiter’s behalf and using their existing login, it requests:

• The recruiter’s own RingCentral text messages and call activity — so they can be displayed and replied to. A recruiter only ever sees their own conversations.
• Contact names and phone numbersfrom Cannonball’s existing internal contact directory — used only to label a conversation with a person’s name and to look up someone the recruiter wants to start a new text with.
• The recruiter’s Cannonball sign-in session cookie for the domain cannonball-recruiting.vercel.app— sent only to Cannonball’s own server so the request is authenticated as that recruiter. The Extension never reads, stores, or transmits the session cookie of any other website.

While the panel is open, it checks for new conversation activity about every 12 seconds. While minimized, it performs a lighter check of the conversation list about every 36 seconds so the unread badge and new-message notifications remain current. Full message threads are loaded when a recruiter opens a conversation, not by the minimized check.

2. What we store on your device

The Extension uses Chrome’s local storageonly to remember interface preferences on your own computer: the panel and launcher positions, the panel size, and its maximize/restore state for each website. To make the launcher and conversation list appear immediately, it also keeps the signed-in recruiter’s last-known conversation list, including candidate names, phone numbers, latest message previews, and unread status. It does not cache full message threads, passwords, session cookies, or RingCentral tokens. The local cache is replaced or cleared when a different texting identity is detected or a sign-out is detected. Chrome separately remembers which websites you approved so it can load the Extension there in the future.

3. How data is used

Message and contact data is used for one purpose only: to show the recruiter their own texts and let them send texts and place calls from their own RingCentral line. All requests go directly between the recruiter’s browser and Cannonball’s own server (cannonball-recruiting.vercel.app), which in turn talks to RingCentral’s API using the recruiter’s authorization.

4. What we never do

• We do not sell or rent any data.
• We do not share data with third parties for advertising, analytics, or any purpose unrelated to operating the texting tool.
• We do not use the data to track your browsing. The Extension runs automatically on Crelate and Recruiterflow, and on another website only after you approve that site. It does not read the website’s page content and only talks to Cannonball’s own server.
• We do not let one recruiter read another recruiter’s conversations. Each recruiter is restricted to their own RingCentral line by their personal login.

5. Permissions we request, and why

• storage— to remember the floating button’s position and the panel’s size and position on your device (see section 2).
• notifications — to alert you when a new candidate text arrives.
• activeTab and scripting— to add the Text Center’s own isolated interface to the tab where you explicitly click its toolbar icon. This does not give the Extension access to every tab.
• Access to cannonball-recruiting.vercel.app — so the Extension can send authenticated requests to Cannonball’s own server on your behalf.
• Running on app.crelate.com and recruiterflow.com — so the texting panel can appear automatically on top of your CRM.
• Optional access to another website you approve — requested for that one website only after you click the toolbar icon (secure https sites only), so the Text Center can appear there now and on future visits. The Extension does not read or modify page content, and it adds its own closed, isolated panel whose displayed conversations the website cannot read. As with anything you type while a webpage is open, only approve websites you trust.

6. Data retention and access

Text and contact data is retained within Cannonball’s internal systems (its own database and RingCentral) under Cannonball’s control, and is accessible only to the recruiter who owns the conversation and to the Cannonball account owner. The Extension itself retains only the interface preferences and last-known conversation-list cache described in section 2. Users can also remove this local data at any time by clearing the Extension’s data or uninstalling it.
